Configuring Locations and Rooms
To setup a new location at your practice, go to Settings and select the Locations option.
When you select the Add button at the bottom of the page you will be prompted to input the details of a new location. The location must have a Location Name, Email Address, Phone Number, and complete Address.
You can also reactivate a location that has been deactivated if needed by selecting the Deactivate button under Actions.
Once you've input all of the information required, select Save to add the location, and it will appear in the list. If you need to edit the details for your newly added location, select Practice Details and then select the drop down menu at the top of the page and select the desired practice location.
You can also configure the Rooms for this location by selecting the tab at the top of the menu under Practice Details.
Ensure that you are in the correct practice location by selecting the drop down menu at the top of the screen. From here, select Enabled under Enable Room Booking, and then select Add Room.
The Create New Room window will now appear. Enter your desired Room Name and any Notes that you need and then select Save.
Finally, select Save.
Assigning Services to Locations
To update assign a service to specific locations, go to Settings, then Services and Fees. Then, select the + to add a new service, or select an exist service and select Edit.
In the Add New Service menu, you will see the option to assign location availability to a service. Select the checkbox next to the locations where the service is offered and then save your changes.
Assigning Therapists to Multiple Locations
If you have therapists who work out of multiple locations you can configure their profile to reflect all of the locations where they work. To update the locations where a therapist is available to be booked, first go to Settings, then Therapists, and select the therapist you wish to update, then select the Edit button.
From the Update Therapist menu, under the Locations section, Select the checkbox next to any of the locations where the therapist will work and then select Update Therapist to update their profile.
The therapist's availability will also need to be assigned per location. To assign availability to a therapist per each of their locations, go to Settings, then Therapists, and select the therapist you wish to update, then select the Availability button.
You will see a locations filter on the availability scheduler pages. You can assign General and Specific availability to the therapist per location.
Navigating Zencare with Multiple Locations
Calendar View
When your practice has multiple locations it is important to be mindful of which location filter is applied when viewing the Calendar. The Calendar view will only show the therapists in the sidebar who work at the location you've selected. Keep in mind, if you do not see the therapist you need to book a session with, you will need to change the Location filter at the top of the page.
Workflow View
If you work out of multiple locations, you may wish to view all of the items in your Workflow per each individual location, or you may wish to combine location filters to view all of the outstanding tasks applicable to you. To add locations to the view, select the filter drop down to view the other locations select one to add it to the filter. You can select the X next to a location name to remove it and the associated tasks from your view.
Dashboard View
Similarly, if you wish to view a report on your practice data across multiple locations you can pick and choose the locations you wish to view from within the Dashboard. To add locations to the view, select the filter drop down to view the other locations select one to add it to the filter. You can select the X next to a location name to remove it and the associated tasks from your view.
From the Data Export section you can use the locations filters to pull exports with data consolidated across any of the locations of your choosing.
Clinic Portal with Multiple Locations
Clients can select the location for services they book in the Client Portal if you have multiple locations. After selecting Book Now, clients will see your locations under Which Location? where they can select the desired location from the list.
